An exciting opportunity for an administrator to join our very busy team in a diverse, full-time office administration role. Tomlinson Equine is a vet practice and a stud, striving to provide excellent customer service across equine ambulatory and cutting-edge reproduction work.

 

We are looking for a reliable, efficient, and experienced administrator to support the vet and stud teams and keep our offices running smoothly. The ideal person will be pro-active, conscientious, and comfortable in a high-pressure environment. Whilst the role is primarily office based, the position requires an awareness of every aspect of the business, therefore previous experience working in the equine industry is desirable, but not essential if a fast learner.

 

The Office is the first point of contact with clients, suppliers, and other areas of the business; the role therefore requires quick decision-making and knowledge of all areas within the practice and the resident horses in the centre. The role is diverse but demanding, requiring flexibility, excellent multi-tasking, and problem-solving.

 

Duties:

  • Office administration duties such as answering the phone, a busy email inbox, and numerous WhatsApp groups and messages
  • Data entry and record keeping (requires proficiency in Excel)
  • Client communications, both verbal and written
  • Client bookings and diary management
  • Client invoicing, payments and debtor chasing
  • Orders, deliveries, and purchase invoices
  • Office supplies management
  • Support to senior members of staff
  • Assisting Vets e.g. lab submissions, results processing, diary management, client communications, data entry
  • Equipment and vehicle record maintenance management
  • Horse husbandry related matters (such as admissions, discharges, record updates)
  • Organising and attendance at promotional events and trade stands
  • Project management e.g. researching, costing, presenting, and actioning

 

Requirements:

  • Administration experience
  • Strong mental agility and resilience
  • Hard working and adaptable
  • Exceptional organisational skills with the ability to prioritise tasks effectively
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office, especially Microsoft Excel
  • Excellent attention to detail and accuracy in all aspects of work
  • Ability to work independently as well as part of a team in a fast-paced environment
  • Problem-solving skills with a proactive approach to challenges
  • Equine experience is desirable but not essential
  • Familiarity with veterinary or laboratory procedures is an advantage

Due to the nature of the organisation, occasional after hours/weekend work may be required. (Time off in lie will be given)

Full time position: Monday to Friday (8:30 to 17:15) £21,500.00 to £28,500.00 - salary commensurate to experience
